1. Introduction
Welcome to Kaplan Interpreting Services. We are committed to protecting your privacy and ensuring that your personal information is handled securely.
2. Information We Collect
We gather data through direct submission (forms, service requests, phone/email contact, in-person interactions) and automatically during website visits.
Personal information categories:
- Name, email address, phone number
- Service-related information provided by users
- IP address, browser type, device information, browsing behavior
Sensitive data such as financial or health information is not collected.
3. How We Use Your Information
Data usage includes: providing and improving interpretation/translation services, communicating about requests and appointments, sending administrative notices, complying with legal obligations, and conducting internal analysis.
4. Data Security
We implement security measures to protect your information, but no method is 100% secure.
5. Third-Party Sharing
We do not sell or share your personal data with third parties except as required by law or for service-related purposes.
Sharing occurs only with service providers (IT support, communication services), when legally required, or during business transfers.
6. SMS Consent
Providing a phone number constitutes consent to receive SMS messages including updates, reminders, and job offers. Your phone number will not be shared or sold to any third party or affiliates for marketing purposes.
Users may opt out by replying "STOP."
7. Tracking Technologies and Consent
Nothing below loads until you choose Accept on the cookie banner. When you first visit, no analytics, no session recording, no advertising tag and no visitor identification runs. If you choose Decline, or simply never answer, none of it runs at all and you can still use every part of the Service. The only thing set before you choose is the security cookie our network provider uses to tell a person from an automated bot, which is strictly necessary to keep the site available.
After you accept, the Service uses these third-party technologies, and these are all of them:
- Google Analytics 4 and Google Tag Manager, to count visits and see which pages are read. Google Tag Manager is the container that loads the tags listed here.
- Google Ads conversion measurement, which records whether a visit that arrived from a Google advert led to an enquiry.
- Microsoft Clarity, which records how a page is used, including scrolling and clicks, so we can find parts of the site that are confusing. Keystrokes in form fields are masked.
- Zoho SalesIQ, the chat window, which also records the pages viewed during a chat session so the person answering can see what you were reading.
- Apollo.io, which looks up the organisation associated with a visitor's network address so we can tell which kinds of businesses read which pages. It identifies organisations, not individuals.
We do not use a Meta (Facebook) pixel, a LinkedIn tag, or any other advertising pixel beyond the Google Ads measurement named above.
You can change your mind at any time by clearing this site's data in your browser, which removes the stored choice and brings the banner back. You may also use the opt-out mechanisms each provider offers, and standard browser controls. Limiting optional tracking does not affect your ability to use the Service.
Cookie categories we use:
- Essential functionality
- Analytics and performance
- Preferences and personalization
- Marketing and advertising
8. Disputes Regarding Data Handling
Any dispute, claim, or controversy regarding the collection, use, sharing, or processing of data under this Privacy Policy shall be governed by the dispute-resolution provisions, fee provisions, and limitations of liability set forth in our Terms and Conditions.
9. Substantiation of Data-Handling Claims
If you believe your data has been collected, used, or shared in violation of this Privacy Policy or applicable law, you must provide us with a complete, unedited copy of the data forming the basis of your claim, together with a detailed written explanation specifying the nature of the alleged violation, the date or dates on which it occurred, and the legal theory or theories on which the claim is based. This requirement is intended to enable a meaningful investigation of any alleged violation and shall not be construed to limit any rights you have under applicable law.
